In the US, yes — CAN-SPAM allows commercial cold email if you include sender identification, a physical address, and an unsubscribe link. In the EU, GDPR generally requires a legitimate-interest basis. Always check the rules for the recipient's jurisdiction.

How many follow-ups should I send?

A cold email + 3 follow-ups outperforms a single send by 3–4× in reply rate. Space them 4–7 days apart and stop after the third follow-up — beyond that, response rates flatten and unsubscribe rates rise sharply.

What's a realistic reply rate?

Well-targeted, personalized cold email lands 5–15% reply rates. Generic mass cold email lands 0.5–2%. The biggest lever is list quality, not copy.

About this Cold Email email template

The Partnership Proposal email template is a cold outreach design built to land replies from people who don't know you yet. Cold emails are the hardest format in email because they have to look personal at scale — the moment a cold email reads like a template, it gets archived. SmartMailing's AI-generated cold email templates are built for the opposite: text-forward, no images, no logos, no brand chrome — exactly the format that high-deliverability cold outreach uses to look like a real one-to-one message.

When to use this cold email

SaaS sales outreach

Open new accounts with a short, problem-led message that mentions one specific reason you're reaching out to that company.

Agency new business

Pitch agency services with a 3-line problem-solution-CTA structure. Long pitches kill reply rates.

Founder-led intro

Reach out as the founder for partnerships, advisor intros, or early-stage sales. Founder-from emails get 2–3× the response rate of SDR emails.

Partnership & BD

Open conversations with potential partners — integrations, co-marketing, channel deals. Lead with what they get, not what you want.

Best practices for cold email templates

No images, no logos, no branded headers. Cold emails should look like the email a human types in Gmail — the moment it looks designed, it looks like spam.
Keep it under 100 words. Short cold emails outperform long ones in every benchmark study published.
One ask. Don't bury the question; put it in the last sentence and make it answerable in one word.
Personalize the first line, always. A specific reference to the recipient's company or recent post is the difference between a reply and a delete.
Send from a real person, not a "no-reply." Cold outreach from generic addresses gets filtered by Gmail at the inbox level.
Warm the sending domain for at least 2 weeks before scaling — cold sends from a fresh domain land in spam regardless of content.

How to customize this cold email template

01
Describe your offer
Tell SmartMailing what you sell, who you sell to, and what specific problem this email is opening with. The AI keeps the cold-email structure but rewrites the words.
02
Personalize per recipient
Use merge fields for name, company, and a custom variable (recent post, mutual connection, specific pain point). Generic personalization stops working at scale.
03
Send from your domain
Export to your sales engagement platform (Apollo, Outreach, Reply.io, Smartlead) or send from your own SMTP. Avoid sending cold email from your marketing ESP.
